According to Gartner Analyst, Michael Woodbrige: "The Enterprise Content Management (ECM), is dead. Long life to the king", he said.
For all that are not familiarized with ECM is a set of defined processes that allow an enterprise, government agency or organization to receive, organize, store and deliver information in an efficient way.

Ad-hoc processes in dealing with information bear high compliance risks and other potential problems. A primary goal of ECM is to eliminate these when dealing with information. ECM systems provide functionalities for this purpose. A fully developed ECM system includes functions such as document and records management, content taxonomies, auditing functions, check-in / check-out and other workflow control and security mechanisms.
According to the Association for Information and Image Management (AIIM), ECM can be divided into five main components Capture (Capture), administration (Manage), storage (Store), preservation (Preserve) and issue (Deliver). The purpose of the individual components can be defined compactly as follows:
- Capture: Create, obtain and organize information.
- Manage: Processing, modifying and using information.
- Store: Temporary storage of information that is not worth archiving or subject to archiving.
- Preserve: Medium and long-term storage and backup of information (keyword: "long-term archiving").
- Deliver: Making information available to customers and end users.
An effective ECM can streamline access to information, eliminate bottlenecks, optimize security, maintain integrity, and minimize information overhead. The first step in building an ECM is to document all types of content that the organization deals with, as well as the business processes and people who handle it. They are supported by ECM tools. ECM tools can also be used to identify duplicate or very similar content so that the organization can limit itself to a few copies of a particular content instead of having many different ones available.
ECM has become increasingly important and complex in recent years for a number of reasons. Economic fraud and data theft - as well as regulations to prevent it - have made efficient information governance essential. This is not only for compliance reasons, but also to help protect an organization's reputation. In addition, companies must manage their content efficiently and integrate it into Business Intelligence / Business Analytics (BI / BA) applications. This helps to make better use of the available information and thus improve business decisions.
